Rental Agreement & Policy

Clear, transparent rental terms — so you know exactly what to expect before, during, and after your rental.

Eligibility Requirements

  • ·The primary renter must be at least 21 years of age and hold a valid driving licence.
  • ·Malaysian renters must present a valid MyKad and a Malaysian driving licence in the relevant vehicle class.
  • ·Foreign nationals must present a valid passport and a driving licence from their home country. A valid International Driving Permit (IDP) is required if the licence is not issued in English or Malay.
  • ·All drivers must be in a fit condition to drive. We reserve the right to refuse a booking if we have reasonable grounds to believe a driver is impaired.
  • ·Any additional drivers must be declared at the time of booking and named on the rental agreement. Undeclared drivers are not covered by insurance.

Vehicle Handover & Inspection

  • ·A joint inspection is conducted before the vehicle is released. Any pre-existing damage is noted on the rental agreement and signed by both parties.
  • ·The renter is responsible for inspecting the vehicle and raising any discrepancies before driving away. No claims for pre-existing damage will be accepted after the vehicle has left the handover point.
  • ·The renter must confirm the vehicle's fuel level, mileage, and equipment at handover.
  • ·A refundable security deposit is collected at handover. The deposit amount varies by vehicle category and is stated in the booking confirmation.

Fuel Policy

  • ·We operate a full-to-full fuel policy. The vehicle is delivered with a full tank and must be returned with a full tank.
  • ·If the vehicle is returned with less fuel than at handover, a refuelling charge will be deducted from the security deposit at the prevailing pump rate plus a service fee.
  • ·Only the correct fuel type for the vehicle must be used. Misfuelling is not covered by insurance and all costs for draining, cleaning, and repairs will be borne by the renter.

Mileage

  • ·Short-term rentals (daily/weekly) include unlimited mileage within Peninsular Malaysia unless otherwise stated in the booking confirmation.
  • ·Mileage limits, if applicable, will be clearly stated in your booking confirmation. Excess mileage charges apply beyond the agreed limit.

Permitted & Prohibited Use

  • ·The vehicle may be used for private, personal, or business travel on public roads in Peninsular Malaysia.
  • ·Travel to Singapore, Sabah, or Sarawak requires prior written approval from Eaze Auto Trade and may incur additional charges and coverage arrangements.
  • ·The following uses are strictly prohibited: racing or driving on a racetrack; off-road or unpaved surface driving; transporting hazardous materials; subletting or renting the vehicle to a third party; towing any trailer or vehicle; use in connection with any illegal activity.
  • ·Violation of prohibited use terms will void all insurance coverage and the renter will be fully liable for any resulting damage or loss.

Vehicle Return

  • ·The vehicle must be returned to the agreed location, date, and time stated in the rental agreement.
  • ·Late returns without prior approval may be charged at the daily rate for each additional day or part thereof.
  • ·Early returns do not entitle the renter to a refund of unused days unless agreed in writing prior to the rental commencement.
  • ·The vehicle must be returned in the same condition as received, reasonable wear excepted. The renter is liable for all damage not covered by insurance.

Security Deposit

  • ·A refundable security deposit is collected at vehicle handover. The deposit amount is specified in your booking confirmation and varies by vehicle category.
  • ·The deposit is returned within 1–3 business days after the vehicle is returned in satisfactory condition.
  • ·Deductions may be made from the deposit for: damage not covered by insurance, missing fuel, excessive cleaning required, traffic fines or toll charges incurred during the rental period, or any other charges arising under the rental agreement.

Cancellation & Amendments

  • ·Cancellations made more than 48 hours before the scheduled rental start are eligible for a full refund of any advance payment.
  • ·Cancellations made within 48 hours of the rental start may be subject to a cancellation fee equivalent to one day's rental rate.
  • ·No-shows (failure to collect the vehicle without notice) may result in forfeiture of any advance payment.
  • ·Amendments to booking dates or vehicle are subject to availability and may result in a rate adjustment.

Accidents & Breakdowns

  • ·In the event of an accident, the renter must: stop the vehicle safely; contact us immediately via WhatsApp or phone; obtain the contact and licence details of all parties involved; not admit liability or sign any document without our approval; file a police report within 24 hours if required.
  • ·Failure to report an accident within the required timeframe may void insurance coverage.
  • ·For breakdowns, contact us immediately. We will arrange roadside assistance or a replacement vehicle depending on the nature of the breakdown and availability.

Traffic Fines & Summons

  • ·The renter is solely responsible for all traffic violations, parking fines, toll charges, and summons incurred during the rental period.
  • ·If a fine or summons is directed to Eaze Auto Trade as the registered owner, an administrative handling fee will be charged to the renter in addition to the original fine amount.
